Parent Information

This page covers all key information parents need to know prior to booking with CW Active Holiday Camps and on-camp arrival. If you have any further questions, please contact us via email info@cwactive.com or call 07864 258016.

Attendance

CW Active requests that parents be punctual in dropping off and collecting children. We also request that parents inform Head Office/Camp Manager when a child will be absent due to illness and other unforeseen circumstances.

If no prior notice is given, the Camp Manager will attempt to contact parents in the case of absence.

 

Parents are asked to tell Head Office/Camp Manager if their child is going to be absent and ask them to provide a reason i.e. they are sick.

We ask parents to contact at the beginning of the day.

Parents can ring or text the camp manager or call head office to inform us if their child is not attending.

Childcare Vouchers

We accept all Childcare vouchers on our Multi Activity camp. We cannot accept vouchers for our Football Camps. Please see our Childcare Vouchers page for more information.

Policies

CW Active has thorough Policies and Procedures required for the efficient and safe management of our camps, aimed to promote the welfare, care and learning of the children who attend. All Policies & Procedures reflect the statutory guidance in “keeping children safe in education” published in September 2018 by Department for Education.

Our Team Aim To Make Your Child’s Experience A Memorable One!

We understand that you may have a few queries before you make a booking at one of our Holiday Camps.

The following information will provide you with everything you should need to know about our activities at all of our venues. If there is still something that we haven’t answered then please feel free to contact us and a member of our team will be happy to help.

How do I book a place?
It has never been easier to book a place at our holiday camps as we operate an online booking system, by clicking here you will be able to select the days and sessions you would like to book as well as any added extras you may need such as early drop offs or late pick-ups. It is worth noting that the online booking system is debit/credit card only.

We are sure that it will be a straight forward process, however, if you do experience some trouble when trying to make a booking then please click here.

 

Can I change or cancel a booking that I have already made?

We understand that things change and this may have an unavoidable impact meaning that you need to change or cancel a booking that you have made. All changes or cancellations must be made via email - info@cwactive.com and will only be confirmed once your receive a response.

 

What age are your Holiday Camps for?
Our holiday camps are designed specifically for children aged 5-13 years old (Year 1 - Year 8) but please, do not worry. We group all children into smaller groups based on their age or school year. As an example, if we were to have two groups then we may have one group for 5-9 year olds and one group for 10-13 year olds. Grouping is all dependant on the number of children that attend the holiday camp to ensure that it falls in line with our staffing ratios.

 

What if my child has a medical condition?
If your child has a medical condition (eg. diabetes, serious allergies, epilepsy etc.) that we need to be aware of then it is essential that you make us aware prior to the Holiday Camp starting. The process of doing so is very simple and is included when registering or booking your child’s place online in the personal information form that must be completed. If your child also requires medication throughout the day then we must also be made aware prior to your child’s first day on camp so that we can make arrangements where necessary.

 

What if my child has additional needs?
Children with additional needs and disabilities are welcomed at our Holiday Camps after consultation between parents and a senior member of our coaching team to ensure that all needs can be met within the staff ratios that we provide. Parents should discuss any particular needs of their child with our team at the time of booking.

 

What should my child wear?
·        Casual clothing (tracksuit bottoms, shorts, jumpers, hoodies).
·        Trainers - we wouldn’t advise boots or shoes as there will be lots of running around!

 

What does my child need to bring?
·        Water or soft drinks - no fizziness! 
·        A packed lunch - fuel for the day!
·        Snacks - active children get hungry quickly!
·       

Additional items they may need:
·        A raincoat - we know how unpredictable the British weather can be!
·        A hat - to keep the sun away or the cold out, depending on the time of year!
·        Sun cream… well, you never know.

 

What shouldn’t my child bring?
·        Sports equipment - we have plenty to use!
·        Computer games or MP3 players
·        Valuable items such as watches or jewellery.

 

Where do I sign my child in?
When you arrive at the holiday camp please look out for signs with directions leading to our designated sign in desk. All signs will read CW Active Holiday Camp.

 

How do I sign my child in?
Our lead coach will be located at the sign in desk to complete the sign in process for your child. All children that have booked online will automatically be on our system and online register.

 

How do I contact the Holiday Camp lead coach?
At each holiday camp venue, we have a large sign located outside the main sign in/out desk which has the name of the lead coach and their mobile number should you need to contact them throughout the day. 

Will you need to contact me?
In certain circumstances parents or carers will be contacted. This includes:

·        If your child is found not to have brought food or drink.
·        If there is a serious behaviour incident.
·        If your child is seriously upset about being at the Holiday Camp.
·        If your child is unable to participate due to serious illness or a toilet accident.
·        If there is a serious injury such as a broken or suspicion of a broken bone.
·        A bang to the head that may result in concussion.
·        Any situation that results in a required hospital visit.

 

What will my child be doing?
We have planned a wide range of exciting and engaging activities throughout the week for all children who attend. Whilst we can’t confirm which activities/sports will be on specific days at this stage, we can guarantee that there will be a huge selection to choose from and take part in across the week with lots of rewards and prizes given out along the way! 

 

Are your Holiday Camps insured?

Yes, all of our Holiday Camp venues and coaches are fully insured and include public liability, civil liability and professional indemnity insurance.

What if I am delayed in collecting my child?
Please respect our programme timing. If you are likely to be delayed after the pre-booked pick up time please let us know in order to avoid unnecessary concern. If you are delayed beyond our latest pick up time of 4:30pm we will try contacting you using the contact number that was provided during the booking process. After that we must notify Social Services of any children still on site.

 

How do I give feedback?
In order for us to progress and improve as an organisation we value any feedback given as well as any suggestions on how we could improve our service in any way. One way of doing this is by simply following and liking our Facebook page and leaving us a review at www.facebook.com/cwactive

In addition, following each holiday camp you may also receive an email that includes a short feedback form for you to complete with your child, if possible. Those parents and carers that do choose to provide us with their feedback will be entered into a draw to win a prize for their child before the next holiday camp!
